Lindia Wildlife is the trading name of Lindia Ltd, registered under company number 10266926 and our registered office is at Brambles, School Lane, Barcombe, East Sussex, BN8 5DS, UK.
This Privacy Policy details the types of personal data we may collect from you when you interact with us. It also explains how we will store and handle that data and keep it safe.
You still have the right to ask us not to process your data in certain ways, and if you do so, we will respect your wishes.
If you are making a group booking you must ensure that others you represent are aware of the content of this Privacy Policy and consent to your acting on their behalf.
What information do we collect from you?
Our main aim in gathering your personal information is to provide you with a customised service and fulfil our obligations to you when you book a holiday with us. We do our best to keep the information we collect about you to the minimum necessary. When you contact us by phone, email, online or in person at events such as a trade fair, we may collect the following information:
- your name, contact information including postal address, telephone number(s) and/or email address.
Where you have booked or are in the process of booking a holiday with us, we may additionally keep a record of:
- your gender, rooming preferences, passport details (including your date and country of birth, nationality, passport number, place of issue, and dates of passport issue and expiry), any dietary preferences, health and insurance information, additional travel or transfer arrangements or special needs you wish to make us aware of, your next of kin and contact details in event of emergency.
We may also keep a record of :
- the date that you contacted us and how you first found us, booking-related emails and correspondence, tour feedback forms, and details of any previous bookings with us.
Please be assured that we will never:
• share, sell or distribute your personal data to any third parties except where we need to fulfil a booking made with us or we have your consent, or we are required by law to do so.
• collect or store any financial information such as your bank account or payment card details on our database
What we do with the data we collect from you
Under data protection laws we are allowed to use personal information only if we have a proper reason to do so such as:
• when you consent to it or;
• to fulfil a contract we have with you or;
• when it is our legal duty or;
• when it is in our legitimate interest (or those of a third party) and your interests and fundamental rights do not override those interests.
Generally we do not rely upon consent as a legal basis for processing your personal data other than in relation to sending our own direct marketing communications to you via e-mail. You have the right to withdraw consent to marketing at any time by contacting us at info@lindiawildlife.com.
We have set out below a description of all the ways we plan to use your personal data, and which of the legal bases we rely on to do so. Note that we may process your personal data for more than one lawful ground depending on the specific purpose for which we are using your data.
To manage your booking with us: We will use your information to provide you with any travel or event services that you request or purchase. This entails booking your accommodations, organising tours, transportation and providing you with your tickets (on the basis of performing our contract with you) and providing you with any special assistance you require (where you give us your consent).
To contact you with information about your bookings and support services: We will use your contact details to send you communications which relate to your booking or services you have requested. The types of information usually included would be: emails responding to enquiries, providing you with tickets, alerting you to changes in itineraries or responding to any complaints you have. We do these things in order to fulfil our contract with you and on the basis of our legitimate business interest of providing you with customer service.
To enable you to complete a survey: We do this for legitimate reasons of studying how customers use our services, to develop them and grow our business.
To send you marketing communications: We will use your information to email newsletters, including tour news, new tours, special offers or other information which we think may be of interest to you. We will usually only do this when we have your consent to do so or on the basis of our legitimate interest to provide you with customer service.
To personalise your customer experience and improve our service: We use your information to provide you with a more personalised service. This might include personalising the communications we send to you taking into account your preferences and booking history with us (on the basis of our legitimate interest for good customer service).
To ensure security and protect our business interests: In certain circumstances, we use your information to ensure the security of our services, buildings, and people, including to protect against, investigate and deter fraud, unauthorised or illegal activities, systems testing, maintenance and development (on the basis of our legitimate interests to operate a safe and lawful business or where we have a legal obligation to do so);
To optimise our website: If you use our website we will use your information to ensure that the content from our website is presented in an effective manner for you and your device, to provide you with access to our site in a manner that is effective, convenient and optimal, and to provide you with content that is relevant to you, using site analytics and research and in certain circumstances combining that with other information we know about you (on the basis of our legitimate interests to operate and present an effective and convenient website to our website users);
To use data analytics to improve our website, products/services, marketing, customer relationships and experiences: This is necessary for our legitimate interests (to define types of customers for our products and services, to keep our website updated and relevant, to develop our business and to inform our marketing strategy);
To conduct research: We use your information to carry out aggregated and anonymised research about general engagement with our services and systems, or if you choose to participate in customer surveys (on the basis of our legitimate interests to improve our products, services and customer service); and
To comply with our legal obligations: In certain circumstances, we will need to use your information to comply with our legal obligations, for example to comply with any court orders (on the basis of our legitimate interests to comply with a legal obligation).
Where you have booked a holiday with us, we may need to share personal data such as passport details, dietary and health details with trusted third parties to enable us to supply and fulfil the goods or services you have requested.
This may include the transfer and disclosure of your personal data both within the UK and/or overseas for our ordinary business purposes.
Examples of the kind of trusted third parties we work with include:
• local service providers (e.g hotels), our local agents and our tour guide(s) in order to fulfil your holiday booking.
• IT companies who support our website, electronic mailings and other business systems. These companies may have access to personal information if needed to perform functions necessary to maintain our business but will only be permitted by us to use such personal information for the purpose of performing that function (which may include one to which you have expressly given your consent) and not for any other purpose.
We require all third parties to respect the security of your personal data and to treat it in accordance with the law. We do not allow our third-party service providers to use your personal data for their own purposes and only permit them to process your personal data for specified purposes and in accordance with our instructions.
If you are booked on a group tour then, prior to tour departure, we supply all tour participants with a final document which includes a list of the names of all participants on the tour, together with their home county and/or country. We will never disclose your personal contact details (such as postal address, email address or telephone numbers) to fellow travelers unless you have expressly asked us to do this.
Cookies
We may use both “session” cookies and “persistent” cookies on the website. We will use the session cookies to keep track of you whilst you navigate the website. We will use the persistent cookies to enable our website to recognise you when you visit.
Session cookies will be deleted from your computer when you close your browser. Persistent cookies will remain stored on your computer until deleted, or until they reach a specified expiry date.
We may use Google Analytics and other similar services to analyse the use of this website. Google Analytics generates statistical and other information about website use by means of cookies, which are stored on users’ computers. The information generated relating to our website is used to create reports about the use of the website. Google will store this information.
Most browsers allow you to reject all cookies, whilst some browsers allow you to reject just third-party cookies. Blocking all cookies will, however, have a negative impact upon the usability of many websites, including this one.
How long do we keep your data?
We will only keep your personal data for as long as necessary to fulfil the purpose we collected it for, including for the purpose of satisfying any legal accounting or reporting requirements. By law we have to keep basic information about bookings and our customers for six years for legal claims and tax purposes.
At the end of the retention period all personal data associated with your booking will either be deleted completely or anonymised, for example, by aggregation with other data so that it can be used in a non-identifiable way for statistical analysis and business planning.
Security
We treat all personal data with the utmost care and take all appropriate steps to protect it. Any personal data retained by us with your consent will be processed in accordance with our registration under the Data Protection Act 2018.
Note that the internet is not a secure medium and we cannot absolutely guarantee the security of your personal information provided over the internet.
Controlling your personal information
If you have previously consented to us using your personal data for direct marketing purposes, you may change your mind at any time and ask to be removed from our mailing list. Please phone, email or write to us to let us know.
If you no longer wish to receive our emails you may click the ‘Unsubscribe’ link at the foot of every e-newsletter we send you.
You are entitled to see the personal information held about you under the Data Protection Act 2018. If you wish to do this, please contact us.
